Rob Dawson, our Business Development Manager here at ServiceScaler is sharing a quick tutorial on how to use our favourite task management tool, Microsoft Planner!
Is adviced to keep checking your planner in case you miss notification. Step 6: Once you get the notification go to the planner by clicking on Reply in Microsoft Planner as shown in step 5 and then you see the description of task. Microsoft Planner is a to-do app that comes with Office 365. It’s used for personal and teamwork planning, with a simple card-based interface that’s similar to Trello. Here’s a quick look at how to use it. Planner integrates very well with Microsoft Teams - another 'new' app from Microsoft that acts as a central hub for teamwork and communication. Create Kanban boards using content-rich task cards with files, checklists, labels, and more. Collaborate in Planner and Microsoft Teams and check visual status charts—all in the Microsoft cloud. Open your plan in Teams On the channel tab where you created it: In Teams, select your team and channel, and then select the plan tab. From the app: In Teams, in the left column, choose More options., and then select Tasks by Planner and To Do. From Planner for web: In Planner for web.

Hey guys Rob here from service gala. In today’s video we’regoing to be talking about planning in the year 2021 and agreat tool that you might be able to use for planning in 2021is Microsoft’s tool, Microsoft. Planner. It’s available as partof Microsoft 365 subscriptions.. Not all of them, but most ofthem and what it allows you to do is create a series of tasksassigned to people, set a due date for them and push those outto both yourself as an individual and your team.Now, if you are a follower of service Gallery, you will haveseen a blog post come up from our recently appointed marketingCoordinator Sky who jumped in and did a review of planner sosomeone non technical has come into the application and startedplaying around with it and created her own plans around ourmarketing schedule and what we need to do. If you haven’t seenthat yet, I’ll drop a link down in the comments here below now.At.Polls record. OK, So what we’re going to do here now is we’regoing to do a quick run through or an introduction to MicrosoftPlanner, and hopefully this will give you the confidence to jumpin and have a bit of a look at. Planner and what you can do. Isit through the January period?. While things are a bit quieterand the circuits closed down might be a good opportunity foryou to do it, so I’m just going to share my screen through here.And what we can say is that I am already logged into office.com,so if you’re a Microsoft 365 or an Office 365 user you go tooffice.com. Login with your credentials and that will takeyou through to this interface.. Now, over on the left hand sidewe can see right down the bottom that we have all apps. So if weselect that, it’s going to show all apps that are available tous. You can see there’s quite a few here in the Office 365portal, particularly for those who are on a higher tier oflicense like me. If you do need to know anything about any ofthose applications and how they work, feel free to reach out tome or anyone at the team at service. Kayla would be morethan happy to help you so we can see in our list of applicationshere that we have planner which is over on the left hand side onmine. Could be anywhere on yours but all we do is select plannerand that’s going to take us through to the Microsoft Plannerinterface. Now we can see here that I don’t have anythingcreated yet, so this is to reflect what you are going tosee when you log in. So if you’re not a current Planneruser, this is exactly what you will see when you log in. So thefirst thing that we’re going to do here is we’re going to createa plan Now there’s a couple of different ways you can do this.If you are already using. Planner, you will have to go newplan over on the left hand side here, but because we’ve nevercreated one, what we want to do is create one. Now, if you’renot a Planner user, I implore you go in and do this. You can’tbreak anything. You might get a notification or two that youhaven’t done a task yet.But you certainly can’t breakanything. So we’re going to create a plan. Now there’s acouple of things that we can do here. We can give the Plannername. I’m just going to call hours test just for the sake ofthis video. Now we can add that to an existing Microsoft 365group, but I think just as an introductory thing will justhave a look at the couple of privacy options here. So we havepublic and private. Basically, if you set it to public, anyonein your organization will be able to see the plan so it willcome up in their list and everything will be visible. Ifit’s private only members you add, so it’s by add permission.You add them into the group andthat will allow them. As a member and I will allow them tosee the plan. What I’m going to do for this one isn’t going tomake it private so I can show you adding Members into thatgroup. And all I need to do is correct plan.That’ll do it’s little process there for a second, creating ourplan, and we’re done. So what we can see now is this is our plan.This is the interface and all we need to do is put in tasks. Sothis one I’m going to do for based around marketing. So forour marketing we know we need to write blogs. We know we need todo videos. We know we need to do lots of things that our practicemanagement system isn’t going to drive our behavior, so it’s notgoing to say hey Rob, you have to have this done by this timeyou have Rob. Here’s a thing that you need to create orhere’s something that you need to collaborate on or here’s acontribution that you need tomake. To part of our business that doesn’t existwithin our practice management system. That’swhere you use this. That’s where it’s a powerful tool.So for this one I’m going to say create video.I’m going to set the due date is today when I’m doing it.And I’m going to assign it to myself.Just hit add task and that’s it.. That task is created.I want to create a second task.And delegate it to somebody else.I could assign the due date as being Friday.And I can assign somebody else to this.So if we have a look here will say that Tristan, my colleaguehas come up as a non member now that’s because I haven’t. Thisis a private plan and I haven’t added any members in yet so wecan still add Tristan from here and what it’s going to promptfor is to add the user to the plan so we can say assign an ad.That’s fine, we’re OK with that.. And then we just go add task.Very simple now if we wanted to add other Members to this planso that we didn’t have to go through that process but alsothat they could see it.We simply go up to the right hand side, here to Membersand we start typing in somebody’s name.Now, because this is a fresh tenant, I don’t know how manyusers we have in here. So we have Steve so will drop Stevein. He can be a member on this plan as well.And now Steve will be able to see the plans and the tasks thatare in it. Now he doesn’t have anything assigned to him, sohe’s not going to have anything come up in his To Do List whichcan be seen over here on the left hand side. If you go to mytasks. It will show you the tasks that are assigned to you.If we shoot back over to our plan, a hub will be able to seeour test plan here. Now there’s some other functions that wehave that are worthwhile looking at. The first one that I like isscheduled so we can see in the tabs across the top. Here isschedule. I can see the things that are upcoming in context ofthis plan specifically things that are upcoming so we can seecreate video. We can see upload video, all of the bits andpieces that we need to do around that plan. Now if this plan wasgoing to be, for example a marketing plan, so this wasgoing to be for our marketing team, we might say, OK, well wehave a marketing plan, but there’s a few different things.Or a few different groups of tasks that we need to do so onemight be blog writing for stuff for the website and the othermight be creating videos. What we can do to start grouping thetask together is to add a newbucket. So very simple.. This one might be.Video production.And we can add a new bucket.And this one might be called.Blog writing.Now it’s very, very simple to move tasks around, so videoproduction. All I need to do is drag and drop the tile.And that’s now into the video production.I can add task directly in here.So it might be too.Write blog posts on.Planner.The due date might be for let’s say next Friday and Imight assign that Steve just so that he has something towork on as well.So that’s the basics of planner.. Now behind the scenes some otherthings are going on.If we go across to all apps, I’m going to have a look at outlook.Because we should have received a notification thata plant task has been assigned to us. So if youhave a plan manager and someone says OK, I need Robto perform this task. Can you please assign him a taskto do that job?Once that’s done, you’ll get the notification come through here.So this is saying I have tasks due today, so it’s sort ofdriving that behavior that hey, you have things that need to bedone come to me in terms of planner. Get these things doneand get them actioned.So there’s links in here that will take us through, but we canbasically just see that through in there now. There’s anotherreally quick tool just before we wrap up on planner that makes itreally, really simple to find all of the things that you needto do. It sort of consolidate everything and it’s called to doso. If you go to office.com and you bring up all apps, you’ll beable to see to do as an application. Now it will bringin things from planning your tasks that have been assignedthere. It will also bring in your To Do List from outlook. Itwill set or demonstrate or show.The things that are due today, the things that are upcoming andjust give you some visibility over all the places around theMicrosoft 3656 where you have tasks or activities assigned toyou that need to be done. It will consolidate them all in oneplace. Super super simple. It’s one of the things that I knowthat I use every day because I have, you know, follow ups inOutlook I have things in planner, I just have stuff thatI need to do again. This is a blank Microsoft tendency so youwon’t see anything here but we can see what it’s doing now isjust getting my list ready.OK, so we can see there that I don’t have any tasks because Idon’t have anything created out of outlook, but I can see that Ihave things planned and I have things assigned to me and I canalso look at my day so it has some suggestions here I canstart planning stuff out so if you do have things beingassigned to you from different locations out of the three 65stack, you should have a look at. Microsoft to do to give you yourtodo list. Makes a really really simple view so that you can seewhat you need to get done for the day. Track progress on projects and other work using Planner in Microsoft 365.
MICROSOFT PLANNER EXPLAINED
Microsoft Planner is a planning app that offers you a visual way to manage and track progress on projects or other work. Planner is available to anyone with a paid subscription to Microsoft 365, whether that’s a personal plan you’ve paid for yourself or a business/enterprise plan paid for by your company.
Like other Microsoft 365 apps, Planner is available on the web and as a mobile app so you can keep up to date when you’re on the go.
Microsoft Planner has a card interface, much like an application like Trello. It serves as a hub where team members can create business or project plans and organize tasks. In this Microsoft Planner tutorial, we show you how to get set up using Planner and how to make the most of Microsoft Planner.
STEP 1: DOWNLOADING AND LOGGING INTO PLANNER
Planner can be accessed in a few different ways. Go to the Planner website and login with your Microsoft 365 account credentials.
Alternatively, you can log into your Microsoft 356 portal and access Planner through the app launcher.
Planner is also available on mobile devices for both Android and IOS.
STEP 2: GET FAMILIAR WITH THE PLANNER HUB
The first screen you’ll see is the ‘Planner Hub.’ This shows the plans you’ve created yourself or been added to by other people. If this is the first time you are using Planner, this will be blank.
It’s worth noting that if you are using Planner with a personal Microsoft 365 subscription, you’ll only be able to see plans you’ve created for yourself in the Planner Hub.
CREATE A PLAN
Let’s start by creating a plan.
- In the left-hand menu, click New plan.
- Give your plan a name.
- Choose whether it’s Public (other people in your company can see the plan) or Private.
- Expand Options to add a description.
- Click Create plan.
Planner will create a new plan.
ADD TASKS
Its now time to add tasks to the plan.
- Click Add task.
The new task panel will open. Enter a name for the task, a due date and who it’s assigned to. If you leave a task unassigned, no one has ownership of that task.
- Click Add Task.

Once assigned, the name of the person it’s assigned to will appear underneath.
The Add Task panel will stay open so you can add lots of tasks quickly. To close it, just click away.
The new task will appear in the To do section of the Planner Hub underneath the Plan name.
To add more information to the new task, click it. The task window will open and allow you to complete additional information about the task.
Tasks can be tagged with a label to categorize them. Labels can be renamed by clicking the pencil icon. You can assign one or more labels to a task.
Choose to show either the task notes or the checklist items on the task card.
There is no save button. Instead, close the window to save your changes and go back to the Planner Hub.
STEP 3: ORGANIZING TASKS AND PEOPLE
By default, all new tasks will be assigned to the To do bucket. Buckets are a way of grouping tasks together and organizing them. You can create your own task buckets in Planner.
- From the Planner Hub, click Add new bucket.
- Type a name for your new bucket.
To move a task to a bucket, click on the task, select a bucket from the drop-down menu, or drag and drop the task to the bucket.
Once you’ve finished, your tasks should look something like this.
Planner has additional buckets that tasks can be grouped into: Assigned to, Progress, Due date, Labels, and Priority.
- Click the drop-down arrow next to Group by Bucket.
- Select a new bucket to group by.
Use the filter to view only tasks that match the selected criteria.

Add members to the plan by typing their name. Members must be within your organization.
STEP 4: COMPLETING TASKS

The status of tasks should be kept up to date so you can track their progress. Once a task has finished, it should be marked as complete.
To see an overview of all tasks organized by progress, click My tasks.
A task can be marked as Complete in two ways.
- Click the circle next to the task name to mark as complete and move it to the Completed bucket.
- Click on the task and change the status to Completed.
Completed tasks get collapsed down to make them less visible when working in your plan.
STEP 5: ORGANIZING PLANS
After you’ve been using Planner for a while, you will probably find you have many plans. Organizing plans and marking the ones you use most often as favorites can be helpful.
- From the Planner Hub, hover your mouse over the plan to be marked as a favorite.
- Click the star icon.
- Alternatively, click the three dots and select Add to favorites.
Plans can also be copied. When you copy a plan, Planner creates a duplicate copy with the same settings, tasks, and members. To get a shareable link to the plan, copy the link instead and paste it into an email or another messaging app.
STEP 6: CHARTS AND SCHEDULE
Click on the Charts tab to see a high-level analysis of all planned activity. See how tasks are broken down by Status, Bucket, Priority, and Member.
Click the Schedule tab to see tasks in calendar view.
STEP 7: CONNECTING TO OTHER APPLICATIONS
To view other options relating to this plan, click the three dots.
When you create a new plan in Planner, an Outlook group will also be created. Use this group directly from Outlook to have conversations, share files and attachments, and connect to apps like Trello and Twitter.
